Speaker and Poster Presenter Resources

Poster Format, Size, Etc.

A poster presentation prize of $500 is being offered for the best student poster presented at this conference. The quality of the poster will be judged by members of the conference planning committee. In addition to poster content and graphical presentation, the following guidelines must be followed in order to qualify for the prize:

  • Maximum dimensions are limited to 5 feet tall and 4 feet wide,
  • Posters will be located in the Gallery area of the NC Biotechnology Center. Freestanding walls will be provided. Posters are to be affixed to poster walls using pushpins. An ample supply of pushpins will be provided.
  • Posters will be assigned index number based on alphabetical listing of first author's last name. Poster walls will be marked with these index numbers.
  • Posters may be hung anytime between 7:00 am and 11:45 am on Wednesday, November 11th. Posters must be removed on Thursday, November 12th at 5:30 pm. Poster that are not claimed by 5:30 pm on November 12 will be discarded.
  • The poster area will be officially open starting at 12:00 pm on Wednesday, November 11th and remain open through Thursday, November 12th at 5:30 pm.

Oral Presentation Guidelines

Digital File Formats
The method of oral presentation for this conference is the use of Microsoft PowerPoint or Internet -based media such as mp3, mp4, html, or avi. Please bring your digital file on a USB flash drive, or send the presentation using email or an ftp file sharing protocol. For questions about your presentation file, please contact Kelley McCarter, Conference Registrar before November 1, 2009.

Audio Visual Provisions
The conference auditorium is equipped with amplified sound, a 15' x 8' screen, an integrated digital projector, and "smart podium" with microphone / projector and video monitor / PC computer with USB ports. Speakers should bring their USB flash drives to the podium prior to their sessions to have the files loaded to the podium's PC computer. Internet access is provided from the podium PC computer if needed. A remote slide advancer is available at the podium. Speakers will have access to a lapel microphone if needed.

Presentation Capture
Speaker presentations will be retained by the conference committee and may be made available in PDF "handout notes" form through a web site. It is not uncommon for conference attendees to request some or all of speakers' presentations. The conference planning committee would like to facilitate this type of synergy, but will do so in only the most responsible manner. If you do not wish to allow use of your presentation in this way, please notify the session chair or the conference registration staff in advance.
