Reports from Officers and Committees
Annual Conference - Crystal Smith
-Met and pulled evaluation sheets from the last conference
-Saw it was all about Professional Development
-We would like to add workshop ideas for Professional Development on Evaluation
Piece for the conference, also asked the group for professional development
ideas today from the membership during the meeting
-Looking at offering three workshops at conference, still meeting the needs
of free time
-Please email Crystal if you have ideas of workshops
Constitution, Policy, & Legislative - Nelson McCaskill
-Thanked committee members
Recommendations to Board:
1) Recommend a NCAE4-HA Calendar of Events be maintained by PR&I committee.
Suggested items to include are deadlines, conference dates & due dates.
2) Recommend an officer orientation workshop be conducted at Annual Conference
by current state officer for incoming district officers and other interested
members (Given to annual conference committee)
3) Delete Article III, Section 3, of the Constitution referring to Honorary
State membership
4) Article III, Section 2b of the Constitution referring to Life Membership
to delete "All Members upon retirement from Extension shall be granted
Life Membership upon a one-time payment of double the Annual Dues."
And replace with:
"Life Membership shall be granted to all members after they retire from
Extension upon a one time payment of double the annual dues"
5) Recommend to the Board that Article VII, Section 2, Item1, referring to
priority order of members for financial assistance to be amended to read
1. Persons to receive MSA, DSA, ASA, and 25 year Service Award (effect is to
change order and remove American Spirit award from this item.)
5) Board will be asked to make final recommendation to approve and modify this
order and the Board recommendation will be a proposed amendment at Annual Conference.
6) Board will be asked to make a recommendation about placement of NCAE4-HA
Officers (especially President) within Article VII, Section 2. If a change will
be a proposed amendment at Annual Conference.

Diversity - Juanita Bailey
-Recognized committee members
-3 Recommendations
1-Offer Diversity workshop at annual conference (working on 3 possible workshop
titles)
Email Juanita Bailey if you have an idea of an out-of-the box workshop idea
2-Provide family friendly support services at multi-day conferences for members
with children
3-Currently the Diversity Committee offers an award at conference.
1-$100 cash award
2-plaque (costing up to $50.00)
We recommend that $150.00 be included in the annual budget to cover the award
and plaque/ The committee will continue to pursue a donor.
Finance - Wallace Simmons
-Announced silent auction winners Total raised from Auction?
-Recommendations to the Board
1-Post district membership forms online
2-Request that it is the responsibility of the state VP to keep and update
the Lifetime Membership Directory, sending it out to get info on who may passed
away.
3-Request that the State VP work with Carolyn Langley to update the online membership
directory.
4-Request that the state VP sends state and national lifetime membership list
to the entire membership to make sure that all lifetime members have been included
on the current membership list.
5-Request Districts membership form only include new state, national and lifetime
members
6-Reccomendation to the board : Idea of the summer meeting of having a challenge
to everyone to give money for us to raise money for the Enrichment Account,
everyone who gives $10 would get a sticker at summer meeting.
-Auction: will be at Thursday night following awards at Annual Conference, each
district was asked to bring 2 NICE items
Membership - Rebecca Liverman
-New membership orientation was held for the 1st time at Winterboard. 4-H Cookbooks
were distributed to those in attendance.
Recommendation:
-To elevate the deadline the committee recommends to the New State VP the following
new deadlines for membership:
1) Info from the State VP must be sent out to District VPs prior to Sep. 1
2) All money is due to District Treasurers by Oct. 1
3) All money is due to the State Treasurer by Nov. 15

-Would like to link the Helpful hands, healing heart logo to state project during
National 4-H week
-Considered suggestion from Constitution committee to manage a calendar of association
deadlines on the website and decided that it was a great idea and that it would
probably become the responsibility of chair elected to send dates to webmaster.
Rapport - Julie Jones
-Thanked committee members
-Upcoming issue is due February 1, 2006; please submit articles to your rep
-Looked at the way the Rapport Website looks to update the site and give it
a facelift

Northwest - Barb Dunn Swanson - Reminder about professional development in April.
Thanked the Northeast District for their efforts
All other districts had no reports.
Unfinished Business
Northeast District thanked everyone for attending Winter Board.
Wallace thanked Carolyn for her efforts on the website and for her donation of $100 to the association.
New Business
-The President would like to appoint an ad hock website committee. This group
would design the website on a disk.

-The President thanked the Northeast District for hosting the event
-South Central district offered the invitation to the Annual Conference that will be held in Pinehurst, NC August 16-18, 2006. The theme for the 2006 conference is: Prepare Yourself at The Carolina: Pine Trees, Professionalism & Possibilities"
