SUGGESTED JOB DESCRIPTION FOR COMMITTEES of the
NORTH
CAROLINA ASSOCIATION OF
EXTENSION 4-H AGENTS
ANNUAL CONFERENCE
- Committee and chairman (state President-Elect) work with
host district to plan the
winter Professional meeting and Annual Conference.
CONSTITUTION, POLICY, AND LEGISLATIVE
- Review constitution each year to insure its workability.
- Assist members in understanding the constitution, a guide
for the conduct of
association business.
- Summarize and update policy statement annually.
- Explore matters of public policy which have an effect on
Extension 4-H programs.
- Work with and through the Extension Federation in
demonstrating unified concerns for
legislative issues, employee benefits, etc.
FINANCE
- Committee and chairman (state Treasurer) solicit needs from
state committee chairman
for budget preparation.
- Prepare budget; pay bills promptly; keep accurate records of
all financial transactions.
- Prepare financial statement prior to Winter Professional
meeting and Annual
Conference.
NOMINATING
- Committee and chairman (immediate past state President)
prepare a slate of qualified
candidates for state office.
- Nominate qualified individuals for NAE4-HA offices,
committee chairmen,committee
chairman-elect, and officers for NCFCEA.
PROFESSIONAL DEVELOPMENT
- Make recommendations to Extension Administration on staff
development, scholarships,
advanced degrees and research. Offer support and suggestions
to Annual Conference
committee.
PUBLIC RELATIONS & INFORMATION
- Explore concerns of NCAE4-HA, the North Carolina 4-H program
and the 4-H
profession in the areas of image, publicity and promotion.
- Collect innovative and effective public relations ideas and
share these with association
members.
- Encourage agents receiving special recognition to complete
"Publicity Release Summary"
and return to appropriate person. Contact award recipient
and newly elected officers to
encourage follow-through for local publicity.
- Coordinate a bi-annual "Public Relations Share Fair" to
provide an opportunity for
agents to share successful publicity strategies and
models.
RAPPORT
- Collect news and articles from members and edit for
Rapport and New and Views.
- State chairman serves as Rapport editor.
RECOGNITION
- Recognize members and program assistant for outstanding
work through the following
awards: Distinguished Service Award, 25 Year Service
Award, Young Agent Award,
Dalton Proctor Award,Program Assistant Award, American
Spirit, Achievement in Service Award, Meritorious Service Award, Communicator Awards, Diversity Award, Natural Resources and Environmental Stewartship Award and other National 4-H Agents Association Awards.
- It is recommended that committee members be past award
recipients.
PROGRAMS
- Analyze and share educational materials, techniques and
methods used by 4-H
professionals in programming. The concept of this
committee does not include the
development of 4-H programs for program materials.
- Identify program needs and refer to the Curriculum
Development Council.
- Point of Reference: On the national level, after program
needs are identified,
respective task forces are set up. The chairman then
appoints a chairman for each
task force. Membership for these task forces comes from
the total membership. The
task force chairman functions for the year appointed and
reports task force action
directly to the committee, current and on-going. The
current section consists of task
forces designated to meet the immediate needs and
concerns of members. The
on-going section consists of task forces that have
long-range concerns. As the needs
of these task forces diminishes, they may be replaced by
task forces from the current
section.
DIVERSITY
- Committee and chairman will guide NCAE4-HA members in
developing and
adopting attitudes and behavior that fosters inclusivity.
- Encourage members to be proactive in providing
programming that bridges barriers,
promotes harmony and appreciation among diverse
audiences.
li> Identify and secure resource materials that address
inclusivity.
- Help to sensitize the Extension community to the needs of
diverse audiences.
MEMBERSHIP COMMITTEE
- Composed of District Vice-Presidents and the chairman
(State Vice-President)
- Orient new members to the Association.
- Recruit potential members.
- Maintain enrollment forms, including National and State
life members.
- Collect membership forms and dues. Forward checks to the
district treasurer
and submit appropriate forms to State Vice President.
- Serve as spokesmen at workshops for marketing membership.
- Update State membership directory yearly on the NCAE4-HA web site.
- Mail hardcopy of the membership directory to all life members annually.
